Helping Windgap Make SharePoint Work for Everyone
Windgap Foundation is a not-for-profit (NFP) organisation that provides programs and services to provide care, support and empowerment for adults with disabilities, so they can live life to the fullest.
When Windgap Foundation came to us, they were juggling a mix of systems that weren’t working for their teams. They’d already moved to Microsoft 365, but their document management was still stuck in the past. Clunky, confusing, and hard to navigate. Staff across their residential homes, day programs, and head office were spending too much time trying to find the right files and not enough time focusing on their clients.
That’s where we came in.
What We Did
We worked closely with Windgap to design a SharePoint setup that made sense for them. Together, we:
- Built a SharePoint structure that mirrored how their teams work.
- Migrated their data to the new SharePoint setup
- Replaced messy folders with smart metadata tagging.
- Created central participant folders that could be accessed across multiple sites.
- Delivered hands-on, real-world training that made SharePoint feel approachable and useful.
We also helped them roll things out gradually, site by site, so the change felt manageable and staff could build confidence as they went.
The Impact
By the end of the project, Windgap had a streamlined, user-friendly SharePoint environment that saves time, reduces duplication, and make life easier for everyone.
Staff can finally find what they need, when they need it. Without the frustration. Most importantly, it enables more effective collaboration.
A Great Partnership
Windgap were fantastic to work with. Open, collaborative, and committed to making the most of the tools they had.
We’re proud of what we achieved together.
What Windgap Said
“Working with WebVine was a smooth and collaborative experience from start to finish. They took the time to understand our structure and challenges and delivered a SharePoint solution that really works for our teams.
The training was practical and tailored to our needs, and the new setup has already made a big difference. Saving us time, reducing duplication, and making it easier for staff to find what they need.
Importantly, the new structure is in line with and helpful for our ongoing efforts to strengthen our governance and compliance processes, giving us greater confidence in how we manage and access critical information.
It will help save us time and help our staff focus on what matters most – supporting our participants and their families.”
